About the Role
The successful candidate will play a vital role in facilitating and supporting operational and executive meetings within Necsa’s governance framework. You’ll ensure that committees operate smoothly, efficiently, and in accordance with statutory and corporate requirements.
From preparing agendas and compiling meeting packs to recording accurate minutes and managing action items, your contribution will help streamline governance communication and decision-making across departments.
Key Responsibilities
Secretariat Function
- Prepare, distribute, and manage meeting agendas and documentation for operational committees.
- Ensure accurate and timely recording of minutes and circulation of decisions to committee members.
- Compile and distribute action items, tracking completion and updates for subsequent meetings.
- Facilitate round-robin resolutions and ensure proper filing of records.
- Support EXCO and Working Committees by coordinating communication and board submissions.
- Attend assigned operational meetings, take minutes, and execute all related administrative tasks.
General Administration
- Handle logistics for meetings, including venue bookings, catering, and IT setup.
- Upload agendas and documents on the CoSec SharePoint System.
- Maintain both electronic and physical filing systems for committee documentation.
- Manage correspondence, membership registers, and attendance records.
- Provide administrative assistance to the Assistant Company Secretary as required.
Safety & Compliance
- Coordinate departmental safety submissions and attend relevant operational safety meetings.
- Ensure compliance with Necsa’s safety and reporting protocols.
Skills and Competencies
- Strong organizational, planning, and time management skills.
- Excellent written and verbal communication abilities.
- Proficient in Microsoft Office Suite and digital document management systems.
- Ability to handle confidential information with discretion and professionalism.
- Resilient under pressure and capable of meeting tight deadlines.
- Strong teamwork, adaptability, and relationship-building skills.
- Understanding of Necsa structures, governance policies, and King IV principles.
Qualifications and Experience
- National Diploma in Secretarial Studies, Administration, or equivalent (minimum 3 years).
- At least 3 years of administrative experience in a corporate or governance environment.
- Progress toward a CIS (Chartered Institute of Secretaries) qualification is advantageous.
- Knowledge of the Companies Act and corporate governance requirements is preferred.
