Position Overview
The Dispatch Clerk will be responsible for organizing, verifying, and managing the movement of finished goods from the warehouse to customers. The role requires a high level of accuracy, attention to detail, and coordination skills to ensure that all dispatch processes meet internal and customer requirements. The successful candidate will report to the Warehouse Supervisor and work closely with the Sales, Customer Service, and Production teams.
Key Responsibilities
- Coordinate daily dispatch activities, plan delivery routes, and assign tasks to warehouse personnel as required.
- Ensure that all goods are correctly checked, packed, labeled, and dispatched according to company standards.
- Generate, verify, and file dispatch documentation including delivery notes, waybills, invoices, and manifests.
- Liaise with internal teams such as Sales, Customer Service, and Production to align order fulfillment schedules.
- Communicate proactively with customers regarding delivery schedules, delays, or any changes.
- Verify physical stock against dispatch documentation and report discrepancies immediately.
- Ensure compliance with company policies, safety standards, and transport regulations at all times.
- Capture dispatch data accurately into the ERP/logistics system and prepare performance reports for management review.
- Support day-to-day warehouse operations and assist with ad-hoc dispatch tasks as required.
- Maintain an organized and clean warehouse environment, supporting a culture of safety and efficiency.
Qualifications & Experience
- Minimum qualification: Grade 12 (Matric).
- Preferred qualification: Certificate or Diploma in Logistics, Supply Chain Management, or Warehouse Management.
- 2–3 years of experience in dispatch or warehouse operations, ideally in FMCG, manufacturing, or similar industries.
- Proficiency in ERP systems (e.g., Syspro) and familiarity with dispatch documentation processes.
- Knowledge of inventory control, transport regulations, and occupational health and safety (OHS) standards.
Skills & Competencies
- Excellent attention to detail, ensuring accurate stock verification and documentation.
- Strong time management and organizational skills to meet daily dispatch deadlines.
- Effective communication skills to liaise with internal teams and external customers.
- Ability to work under pressure while maintaining accuracy and efficiency.
- Computer literacy, particularly in ERP systems and Microsoft Office applications.
