About the Role
The Dispatch Clerk will be responsible for overseeing the entire distribution process — from vehicle loading to documentation and dispatch coordination. The successful candidate will ensure that all dispatch activities are completed efficiently, safely, and in compliance with company policies. This position reports to the distribution supervisor and requires a keen eye for detail, excellent communication skills, and the ability to work well under pressure.
Key Responsibilities
- Coordinate the loading of vehicles according to capacity and distribution priority.
- Oversee the weighing of trucks and ensure all weighbridge tickets are correctly collected and filed.
- Supervise loading and offloading activities to minimize delays and maintain operational discipline.
- Ensure proper sampling and quality control according to company standards.
- Maintain accurate and organized records for all dispatch activities and ensure smooth shift transitions.
- Monitor loader operations and ensure drivers adhere to hygiene and uniform standards.
- Inspect the weighbridge weekly and ensure its proper functioning.
- Receive feed returns in accordance with company procedures.
- Maintain cleanliness of the dispatch office, weighbridge area, vehicles, and wash bay.
- Plan delivery times and manage load scheduling effectively.
- Provide excellent client service and ensure all documentation is completed accurately and on time.
- Comply with the Health and Safety Act and report any potential hazards to supervisors.
Minimum Requirements
- Grade 12 (Matric) qualification – essential.
- Minimum of 2 years’ experience in an animal feed factory or similar environment.
- Strong understanding of the production and distribution process.
- Distribution or logistics experience will be a strong advantage.
Technical Knowledge and Competencies
- Proficient in MS Office (Word, Excel, Outlook).
- Solid knowledge of production and dispatch operations.
- Strong verbal and written communication skills.
- Leadership and coordination skills.
- Understanding of OHSA (Occupational Health and Safety Act) regulations.
- Knowledge of product handling and distribution practices.
