About the Position

This position plays a vital role within the Transport Department by ensuring that all transport-related data and administrative tasks are accurately captured and processed. Main Objectives of the Role

The Transport Admin Clerk will be responsible for handling all administrative duties related to the transport fleet, assisting in logistical coordination, and maintaining compliance with operational and reporting standards. Key Responsibilities

  • Fleet Maintenance and Servicing: Monitor and record all fleet maintenance activities to ensure vehicles are serviced on schedule and maintained in good condition.
  • Insurance and Claims Handling: Process insurance claims related to company vehicles and follow up on outstanding cases.
  • Fines and Traffic Violation Control: Manage and record all fines, ensuring that they are correctly allocated and redirected to the respective drivers.
  • Fuel Consumption Tracking: Capture and monitor vehicle fuel usage to track efficiency and control costs.
  • Procurement and Orders: Order vehicle-related parts or services and generate order numbers through the internal system.
  • Data Management: Maintain and monitor the DRM/Vigil tracking systems for the transport fleet.
  • Reporting: Capture and consolidate data for KPI (Key Performance Indicator) reports used in performance monitoring.
  • Cost Management: Ensure that vehicle mileage and associated costs remain within contractual limits and perform necessary cost allocations.
  • Operational Support: Assist on-site in the absence of the Transport Controller, ensuring continuous coordination of fleet operations.

Required Qualifications

  • Grade 12 (Matric) certificate or an equivalent qualification.
  • Computer literacy with strong proficiency in Microsoft Excel and Word.

Experience Requirements

  • 2–3 years of experience in Transport Administration, preferably within an FMCG environment.
  • Experience working with fleet management systems or logistics software will be advantageous.

Skills and Attributes Required

  • Excellent communication and interpersonal skills (written and verbal).
  • Strong analytical and numerical ability for accurate data entry and reporting.
  • Exceptional attention to detail and organizational ability.
  • Proficiency in Microsoft Office, especially Excel.
