Key Responsibilities

Student Record Keeping

  • Maintain accurate student records and databases for all enrolled learners.
  • Ensure the confidentiality and integrity of student information.
  • Update student files with relevant academic progress and administrative details.

Filing of POE’s (Portfolios of Evidence)

  • Organize, file, and manage learners’ portfolios of evidence efficiently.
  • Ensure timely submission of POE’s to relevant departments or assessors.
  • Maintain a system for easy retrieval and tracking of all documentation.

Coordination of Academic Projects

  • Assist in the planning, execution, and monitoring of academic projects.
  • Ensure deadlines and quality standards are met for all assigned tasks.
  • Communicate effectively with project stakeholders to resolve queries.

Learner Queries

  • Serve as the first point of contact for learner inquiries, both in person and via email.
  • Provide accurate information regarding academic processes, timelines, and submissions.
  • Escalate complex queries to relevant senior staff or departments when necessary.

Administrative Support

  • Assist department staff with day-to-day administrative tasks.
  • Prepare documents, presentations, and reports as required.
  • Support communication efforts between staff, learners, and external stakeholders.

Desired Experience & Qualifications

  • Minimum of a Higher Certificate with administration experience.
  • Familiarity with office administration practices and academic procedures.
